5. Contact List Management

 

If you are going to build a contact list, it only makes sense that you're going to find an efficient way to manage it. I've been using a software program from many years now called Group Mail. I've yet to find anything better , or easier to use.

 

Group Mail comes in three versions :

 

* Group Mail Free

* Group Mail Pro

* Group Mail Plus

 

The free version is really 100 % free. The only limitations are that it only allows you to mail out to 100 people at once. And it doesn't allow you to use any additional plug-in modules ( advanced features). I've found this to be cumbersome,  since you'll be sending out anywhere from 500 to 1000 emails everyday... sometimes even more.

 

The only time I would recommend Group Mail Plus is if you are managing a VERY  large list and need the extra sending speed. For what you will be doing here , Group Mail is all you should need.

 

If you can't afford $99.95 to purchase Group Mail Pro, then download Group Mail Free for now. It'll be extra work for you to use , but it's still better than nothing. Just upgrade to Pro as soon as possible you can.

It's one of those little investments that makes all the difference.

 

I recommend downloading Group Mail and spending some time to know the program. Just follow the installation instructions  to install it on your computer. It may take you an hour or so to learn how everything works ,but it's well worth the time spent because you'll be using it a lot.

Every new contact you generate gets entered into the Group Mail Program into what is called a " Group " . Follow these instructions

To create a a Group for your Verified Contacts :

 

          1. Start Group Mail

          2. Click on Group Manager " tab.

          4. Click on the " New" button.

          5 Enter " Verified Contacts"  for the name of the new Group.

 

Everything I teach you to do in this book is aimed at generating contact information to add to this list. Later I'll show you exactly to reply to these people to begin building relationships.

 

Here is how to add your new Contacts to your " Verified Contacts " group :

 

1. Start Group Mail.

2. Click on the " Group Manager"  tab.

3. Double click on your " Verified Contacts" group.

4. Click on " Add" button.

5. Enter the email address and all other information.

6. Click " OK ".                                                                                                                                 

7. When you're done adding contacts click on " Close ".         

 The most important thing you need to remember about list management is that when a person emails you and asks yo be removed from your list, you MUST remove it. If you continue to email people who ask to be removed from your list,  you can get into quite a bit of trouble with your Internet Service Provider for sending SPAM ( unsolicited commercial email ).   

 

 If you use Microsoft Outlook Express you can even set up " mail rules" to automatically filter out your new contacts from other emails and place them into a special " folder". Here is how to set up : 

 1. Start Outlook Express

 2. Click on Tools/Message Rules /Mail...

 3. Check " Where the Subject line contains specific words"

 4. Check " Move it to a specific folder"

 5. Clikc on " contains specific words"

 6. Type " NEW_CONTACT" and click " Add " , then " Ok ".

 7. Click on " specified ".

 8. Click on the " New Folder " button.

 9 .Type " New Contacts" and click " OK "

10 . Highlight the " New contacts" folder and click " Ok"

11. Click " Ok " and then click " Ok " again to cose the mail rules.  

 

Now every mail that comes into your inbox with NEW_ CONTACT in the Subject link will automatically be placed in the " New Contacts"  folder.

This makes it easy to find and add new contacts to your Verified Contacts list in Group Mail. Just check your " New Contacts"  folder daily,  enter the new contacts to Group Mail and delete the email out of your " New contact " folder in Outlook Express.

 

When you purchase Group Mail Pro you can automate this task even further by downloading , installing and configuring the "Subscriber" module.  This allows Group Mail Pro to access your email account, pull out all the emails with NEW_CONTACT in the subject line and authomatically add them to the " Verified Contacts" group. You can even set up the Subscriber Module to process all remove requests and block them from all future mailings authomatically.

 

Graoup Mail Pro is a very sophisticated software program that is VERY worthwhile to master if you want to make your life easier.

 

The initial reply letter.

 

After you've entered a new contact into Group Mail, it is important that you immediately send up a follow up letter to that person to thank them for responding.

Please note that the second paragraph tells them a little about me . You will make the change to tell a little bit about yourself. If you just started marketing...tell them that. Be honest, be yourself. Honesty is also a skill and skills might be learned. By being yourself you will be able to build a firm and longlasting relationship.

 

In summary

 

This email is the first communication to your new contacts , but definitely not the last. The idea is  to establish real communication with the person and develop a relationship. Here are some basic guidelines to follow :

 

* Do not email your contact every day, Once every 4 or 5 days , or even once a week , is fine unless there is an urgent message or reminder you need to get out to them.

* only share information with them that will help them..things like articles you receive from newsletters that have appealed to you, or valuable marketing resources that find out about.

*DO Not send sales letters. Ask a lot of questions about their business , share information about yourself and your business success. Let them know what marketing tools you are using,...etc.

*Keep our email letters short and to the point.

Ask questions like " where do you live? " , What is your primary business ? " ,"  What kind of success are you having ? ", What do you feel you need the most help with ? ,...etc.

* Be INTERESTED in THEM. Do not try to make them to be interested in you . Just be yourself and they'll be very interested in you.

* Keep your emails in text format so they are easy  for everyone to read.

* Always include YOUR contact information at the end of each message and encourage people

to get back with you.

 

I'll be covering much more on how and what to send to your contacts in another chapter. The purpose of this chapter was basically to get you oriented with Group Mail and how to set  it up.   

Now ,that we've accomplished that, let's move on to the good stuff .
